Your User Profile

The user profile page (/profile) is your personal settings hub. It is organized into four sub-tabs accessible from a floating left-nav column on the left side of the page.

Click your avatar in the header bar, then select Profile from the dropdown menu — or navigate directly to /profile.

Click a tab name in the left-nav column to switch sections instantly — no page reload occurs.

Note: Tabs whose cards have no content for your account are hidden automatically. For example, if you have no Personal Assistant and no Team Messaging connection configured, the Connections tab does not appear.

Notifications Tab

The Notifications tab contains your communication preferences, per-type channel routing, quiet hours, and the Mobile SMS opt-in card.

Standard channel

The Standard channel selector controls how your agents deliver their normal, non-urgent messages to you. Email is always sent and remains the searchable, reply-by-email record - this cannot be turned off. The selector chooses whether Teams is added on top of it:

Selecting Email + Microsoft Teams shows one of three status messages beneath the selector, depending on your organization's Teams setup:

  • If your organization has no active Teams connection, you'll see a note that messages will keep arriving by email only until an administrator sets one up.
  • If Teams is connected but your personal Teams identity isn't linked yet, you'll see a note to message the agent bot once in Teams to link your identity.
  • Once both prerequisites are met, you'll see a confirmation that agents will message you on Teams as well as by email.

Note: This is separate from the Urgent notification channel below, which is an additional ping sent only for urgent messages regardless of your Standard channel choice.

Mobile SMS opt-in

The Mobile SMS card lets you verify a phone number to receive SMS notifications from Outermind. It is available in US deployments only (the card is hidden in other regions).

Feature availability: SMS notifications ship dark by default. If your organisation has not yet enabled SMS, the card shows a "not available yet" message. Contact your administrator if you expect this feature to be active.

Opt-in steps:

  1. Open Profile > Notifications and locate the Mobile SMS card.
  2. Enter your mobile phone number and click Send code. Outermind sends a 6-digit verification code to that number via SMS.
  3. Enter the code in the field that appears. The code expires in 10 minutes.
    • If the code expires or you did not receive it, click Resend code (available after a 60-second cooldown).
    • If you enter an incorrect code too many times, the verification session is locked. Start over by clicking Change number.
  4. Review the consent disclosure text and click Verify. Outermind records your consent and the number becomes active.

Opting out:

Click Opt out on the opted-in card to stop receiving SMS messages. Your number is suppressed immediately. You can re-enrol at any time by following the opt-in steps above.

SMS as a notification channel

Once you have opted in and verified a mobile number, SMS becomes available as a selectable channel in two places on the Notifications tab:

  • Urgent notification channel - The selector that controls which channel also receives a ping for urgent agent messages. Before opt-in, SMS appears in the list but is disabled with a "verify a mobile number" label. After opt-in it becomes selectable alongside Email and Teams.
  • Per-type channel routing - Each notification type (Escalations, Email Approvals, Safety Reviews, etc.) has its own channel selector. SMS appears in the dropdown for every type and becomes selectable once opted in.

Note: SMS does not support digest mode. If you select SMS as the channel for a notification type, the digest setting for that type is automatically fixed to "Immediate" - the backend rejects any attempt to save SMS with a digest schedule.

The Connections tab's Link Slack card verifies your Slack identity so your organization's Platform & Security Officer (AIPSO) agent trusts direct messages from you. Until you link an account, Slack DMs claiming to be from you resolve as unknown and are treated with reduced trust.

Prerequisite: Your tenant must have an active Slack connection configured before you can link your account. If it does not, the card shows a message explaining that Slack is not connected - contact your administrator.

Linking steps:

  1. Open Profile > Connections and locate the Link Slack card.
  2. Enter your Slack member ID or the email address associated with your Slack account, then click Send code. Outermind sends a short verification code as a Slack DM to that account.
  3. Switch to Slack, copy the code from the DM, and paste it into the Verification code field on the card.
  4. Click Verify. Once confirmed, the card shows your masked Slack user ID, the linked workspace name, and the date you verified.

Workspace scoping: The link is scoped to the specific Slack workspace that issued the verification code. If your organization uses Slack Enterprise Grid with multiple connected workspaces, a DM from the same Slack user ID in a different sibling workspace still resolves as unknown - you must link separately per workspace if you need to be trusted from more than one.

Code errors: If your code expires (codes are short-lived) or you exceed the allowed number of incorrect attempts, the card asks you to request a new code. Click Use a different Slack account at the code-entry step to cancel and start over with a different member ID or email.

Unlinking: Click Unlink Slack on the linked card to remove the binding immediately. DMs from that Slack account resolve as unknown again until you re-link.

Microsoft 365 Access Tab

The Microsoft 365 Access tab lets you view and adjust which Microsoft 365 capabilities Outermind may access on your behalf.

Capability table

Each row in the table represents one Microsoft 365 capability (for example, Mail, Calendar, or Contacts). For each capability you can set one of three access levels:

Mail has an additional independent Send toggle that controls whether Outermind may send email on your behalf, separate from the read/write level.

Saving your changes

After adjusting the capability table, click Save Changes at the bottom of the card.

Step 1 - Review modal. A confirmation dialog lists your pending changes in two groups:

  • Additions (need your approval) - permissions you are granting to Outermind. These require a Microsoft sign-in step.
  • Removals (applied immediately) - permissions you are revoking. These take effect without any extra sign-in.

Review the list and click Apply changes (removals only) or Continue to Microsoft (any additions).

Step 2 - Removals are applied first. If you are removing any permissions, Outermind applies them immediately before opening the Microsoft popup. You will see a brief loading state while this happens.

Step 3 - Microsoft consent popup (additions only). If your change includes additions, a Microsoft sign-in window opens in a separate popup. Sign in and accept the permissions listed. The popup must stay open until the sign-in completes - closing it early cancels the additions (your removals will already have been applied).

Step 4 - Result toast. Once the flow completes, a toast confirms your updated access and the table refreshes to show the new state.

Popup blocked? If your browser blocks the popup, you will see an error. Allow popups for this site in your browser settings and click Save Changes again.

Interrupted save recovery

If the browser tab closes or refreshes after removals were applied but before the Microsoft popup flow finishes, Outermind detects the interruption on your next visit to the tab and shows a warning toast. Re-edit your desired levels and click Save Changes again to complete the additions.

Pending changes

When you change a level the row is highlighted in amber to indicate an unsaved change. The highlight clears once you save successfully.

Administrator-locked rows

Rows marked Locked (shown with a lock icon) have been granted at the organisation level by your Microsoft 365 administrator via admin consent. These rows cannot be reduced individually - contact your administrator if you need to change them.

If your organisation has not yet configured admin consent for Outermind, the tab shows a message explaining that Microsoft 365 access is not available. Contact your Microsoft 365 administrator to enable the integration.

Deep-linking to a Tab

You can link directly to any tab using a URL hash:

On small screens the left-nav collapses to a dropdown selector above the content area. Tap the dropdown to switch tabs.
