Dropbox Sign Integration

Connect a Dropbox Sign account so agents can send documents and templates for electronic signature, follow each signer's progress, remind or cancel a pending request, and save the signed PDF once everyone has signed.

Before you start

  • A Dropbox Sign account on a paid API plan. Live signature requests need a paid Dropbox Sign API plan. A free plan allows zero live sends, so requests run in test mode until the account is on a paid API plan. If the account's plan refuses a request (for example, its monthly signature-request quota is used up), the agent is told the plan does not allow it.
  • A dedicated Dropbox Sign account for agents. Agents act as the account you connect: signers see requests coming from it, and its templates are the ones agents can use. Use an account set up for this purpose rather than a person's own.
  • A tenant admin in Outermind with permission to manage connections.

You do not create an app or an API key in Dropbox Sign. Outermind uses its own Dropbox Sign API app, and you sign in to it.

Test mode

Test mode is a property of the connection, set by Outermind for each region. It is never a setting in the console and never a tool parameter, so an agent can neither turn a test request into a legally binding one nor the other way round.

  • When the connection is in test mode, the connection page shows a Test mode badge. Every request it sends is a Dropbox Sign test request: signers still receive it, but it is marked as a test and is not legally binding.
  • When there is no badge, requests are live and legally binding.

Each request an agent reads back also says whether it was sent in test mode. If you need live, binding requests and your connection shows the badge, contact Outermind support.

Connect in Outermind

  1. Open the Capabilities hub, go to Connections, and open Dropbox Sign. The page is at /capabilities/integrations/dropbox-sign.
  2. Click Connect Dropbox Sign. The setup wizard opens at /capabilities/integrations/dropbox-sign/setup.
  3. Click Connect, and in the pop-up sign in as the account you want signature requests to come from, then approve access.
  4. The wizard shows the connected account's email address when it is done.
  5. Grant the Dropbox Sign tools to each agent that needs them from the agent's Tools tab (Workforce > Agents > Agents & SMEs).

What your agents can do

ToolActionClassTierWhat it does
dropbox_sign_signature_requestssendwritehighSends documents, or one or more templates, for signature; each signer is emailed a request
getreadreadReads one request's current status and each signer's progress
listreadreadLists signature requests, most recent first
searchreadreadFinds requests by title or signer details
downloadwritelowSaves the signed PDF of a completed request as an asset and returns its asset id and link
cancelwritehighCancels a pending request so its signers can no longer sign
remindwritehighEmails a reminder to one signer who has not signed yet
dropbox_sign_templateslistreadreadLists templates with the signer and CC role names each one declares
searchreadreadFinds templates by title

A send names at most 20 signers and at most 10 documents. A document is named by where it comes from, never pasted in as content: today that is a publicly reachable https link. Email attachments and OneDrive items are accepted as sources but answered with a "not available yet" message.

Safety

  • Sending, cancelling and reminding are tier high. They email real people outside your organisation, so at every autonomy level below Full Autonomy they are held for a person to approve first. See Risk tiers.
  • No duplicate sends. Dropbox Sign has no way to make a send safe to retry. If a send times out and its outcome is unknown, Outermind checks whether it went through before letting the agent try again, so a network error does not send a second copy of a legal document to a signer.
  • Signed documents are saved, not shown. download stores the PDF as an asset; the document's contents are never placed in the conversation.

Testing and disconnecting

  • Test Connection checks that Dropbox Sign still accepts the connection.
  • Reconnect appears when the token has expired or the connection is in error; it runs the wizard again with the connection kept in place.
  • Disconnect Dropbox Sign clears the stored connection, removes the Dropbox Sign tools and unassigns them from every agent. Signature requests already sent stay in Dropbox Sign.
